In this engaging mini-episode I welcome one my favorite people, Doug Cooper from UMass Lowell. Doug found a hobby (some would say an obsession) as he guides listeners on how to explore the unexpected world of unclaimed property. Doug shares his unique hobby: scouring state treasurer websites like FindMassMoney.com (Massachusetts) and Connecticut’s unclaimed property portal to uncover "lost" funds belonging to colleges, universities, and even closed institutions. What began as a personal curiosity turned into a treasure hunt benefiting educational institutions—sometimes recovering significant sums that might otherwise have gone unnoticed. Doug describes the process, the spreadsheet “family of lists” he’s built, and the surprising reactions (or lack thereof) from the organizations he’s tried to help.With summer in full swing, Laura and Doug also discuss the perennial challenge of tackling those ever-growing to-do lists and the importance of intentionally planning for both productivity and joy during the academic off-season.

Latest Episode: Student mental health has received a great deal of air time, especially since the COVID 19 pandemic disrupted every aspect of our lives. But, student well-being has been a source of discussion and concern for some time. The team at the Butler University Institute for Well-being developed SWISS: Student Well-Being Institutional Support Survey. Since 2020, SWISS has been administered to 20 institutions and collected over 16,000 student responses. The assessment has helped universities across the nation understand students’ needs and improve well-being initiatives. As we are readying ourselves for the academic year ahead, I was excited to speak to the team at Butler University who are responsible for SWISS and dig in on what we can learn from their initiative and how campuses can take part. Over 4,000 members of Student Affairs Administrators in Higher Education - otherwise known as NASPA came together March 20-23 in Baltimore, Maryland.  This was the associations first - in person -annual conference since the spring of 2019. Like so many other aspects of our lives, NASPA was forced to reimagine the delivery of their nearly 80 annual in person events during the height of the COVID 19 pandemic, and now, as we transition to endemic living and conferencing, NASPA was ready to deliver. But, the world of Student Affairs has changed, the great resignation is putting a great strain on campus service delivery, and the field itself is at a crossroads. And as is typical of the conference, there was controversy and debate about what the association should be prioritizing. In this episode, of “Office Hours with Dr. De Veau”, my guests were 2022 NASPA Conference Chair, Dr. Mamta Accapadi, Vice Provost for University Life at the University of Pennsylvania and from the NASPA office, Joey Desanto Jones, the Executive Director of the Higher Education Consortium for Student Affairs Certification. GW to Transform Services for Residential Students; Why one University Decided to Do Away with RAs

Listeners of the live broadcast had a couple of common questions (thanks for reaching out!) … I asked guest, Seth Weinshel for the follow-up and he was kind enough to give me some details. First, listeners were interested in the 9 student staff roles that were discussed. Seth sent the chart below. I cannot stress more that when considering this model that campuses need to look at their own campus and the priorities of the culture and mission, so consider the examples of GWU, but you may have different needs for your own campus to consider.

Second, listeners really wanted to know about ‘rounds’ and how GWU handled ‘rounds’ and documenting student behavior. The answer from Seth, “In a nutshell the CCs (community coordinators) do rounds daily, and do them around dinner time to connect with students as they are coming back from class or leaving for dinner.  We do not do late night rounds, because as we were asking questions about why do we do what we do, the only answer we could come up with about why have staff do rounds at 11 PM and 1 AM, was to catch people involved in policy violations, we decided we did not need to catch them.  When our RAs, when we had them did rounds that late all they were doing was policing and that was never what we wanted them to be.”

Perhaps another show on the purpose of rounds is in order?

Dr. Cissy Petty Vice President for Student Affairs and Dean of Students

When Former students were asked to describe Cissy… abruptly, one piped up and said, “she’s a lightning bolt on two feet.” Cissy was appointed to her position at GW in August of 2019 

She has high energy, a drive to accomplish bold projects, and a keen eye for the details. She would describe herself as a change agent, comfortable with intuitively seeing the potential in people, places, and things. As GW’s chief student affairs officer, she provides leadership over areas including student conduct, student health and well-being, campus living and residential education, fraternity and sorority life, student organizations and leadership development, military and veteran student support, and on-campus student programming. Recognized nationally as a thought leader in student affairs, Cissy has taught courses on leadership development and counseling at the graduate and undergraduate levels and has presented extensively. 

Cissy’s undergraduate and graduate degrees are from Florida State University, and she was presented with the FSU Distinguished Alumni Award from the College of Education in 2020.

Seth  Weinshel, Associate Vice President for Business Services

As Associate Vice President Business Services, Seth Weinshel is responsible for Housing, Dining, and other Auxiliary Services at GW. Seth earned his BBA and MTA from GW, and an AAS in Culinary arts from Stratford University. He is an accomplished Senior Housing Officer with over two decades of housing, management, and planning experience, and has held leadership positions within the Association of College and University Housing Officers – International.

For the first time since Spring of 2019, Student Affairs professionals will be gathering for the NASPA, Student Affairs Administrators in Higher Eduction conference. Tune in for Upcoming Shows:March 9th, College is often the first time in a person’s life when money management skills are needed. But, most young adults do not receive “Financial Literacy” education and are left to their own devices to make financial decisions. Many overspend, take on too much debt, and don’t think about planning for the future. While there is no shortage of online personal finance content, many young adults are not aware of their knowledge gaps or motivated to learn independently. The Babson Financial Literacy Project (BFLP) is a not-for-profit program that prepares young adults to manage their financial futures. On Wednesday, March 9 at 12Noon ET,  will welcome Robin Kahn, Program Director of the BFLP and faculty member, Jennifer Bethel to tell us more about the program. 

March 16th, “Reimagining Residence Life” with Dr. Cissy Petty, VP for Student Affairs and her team from the Office of Residence Life. Resident Assistants have been the front line for Residence Life for Generations. In the fall of 2021, George Washington University in Washington, DC launched their new residence life staffing model, where RAs were no longer part of the equation. What gave the GW team the will to take on this behemoth in the tradition of student affairs, and what has the first semester of the new program taught them? Wednesday, March 16 at 12Noon ET

Such coordinated programs have real value, not only for the institution seeking to bolster enrollment, but also for the students who need assistance finding a pathway to completion. According to the Community College Resource Center, only 25% of those who start at a community college end up transferring to a four-year institution. EAB Gives us this stat: about four million community college students intend to transfer to four-year institutions but don’t. As HigherEd Pros, we need to be seeking out opportunities to expand student success and create programs that meet the needs of specific populations. Considering what transfer students need will take some analysis of your own campus culture. However, keep in mind that you likely have all the elements of a success program already baked into your campus student services, you just have to re-imagine how you use these elements to fit the transfer student needs.

Sure. There is a lot there to unpack. Agreed, the pandemic was hard, and remains hard (it isn’t over), but the pandemic isn’t the only aspect of the last 18 months that has been difficult. A racial reckoning, politicization of nearly every aspect of our existence, and financial rollercoasters only added to the health crisis. Campuses are reflective of the greater communities and societies around them. We do not exist in a bubble, and we cannot lead effectively on our campuses without that in mind. 

Busteed’s warning signs all intersect with leadership. Being an effective leader during the next 18 months will come down to a few common traits: spirit of compassion, thorough and nimble planning, and consistently conducted communication. 

Your Call to Action

Each of Busteed’s “8 Reasons” can be managed with one or a combination of these traits, and today is your time to begin to sharpen your skills in order to effectively manage your own leadership in what will continue to be challenging times. 

Have a Spirit of Compassion. Set your expectations of your community and emulate these expectations. Create a spirit of compassion that is woven throughout any decision making, policy development and program implementation that impacts people. Workplace policies for employees, COVID vaccination, testing and tracing protocols, remote learning practices - are each examples of matters that when seen through a lens of spirit of compassion, tell your community that they, in fact, are seen, and that campus leadership is working to make informed decisions based on reality, not presumptions. Community members simply don’t want to feel like decisions are lazy, arbitrary or uninformed by the last 18 months (or longer). Leadership should be clear that compassion is fueling decisions, and with that, the expectation is that each member of the community is acting with compassion. When modeling your spirit of compassion, bring it back to your institution’s mission, speak to the higher values of the community, and that our campuses are complex places, not a fast food restaurant, an airline or a cable company. We should be mindful of the challenges we have all endured, and act with grace, while expecting excellence. We can do both - extension of grace doesn’t mean giving people a pass for incompetence. Rather, leadership should be sure that there are mechanisms in place so that continuous improvement can happen - as such, institutions must have an improvement plan in place, which takes us to our second trait, thorough and nimble planning.  

Thorough and Nimble Planning.  Setting a tone of compassion is one thing, making things work better is another. You see, if people hear, “We need to give grace,” but they seeoffices and practices that aren’t up to the challenge of excellent service, they will lose patience with the compassion, flip the narrative to the campus being unprepared for a state of full operation and are hiding behind a mask of compassion rather than competence. I can hear it already, “You’ve had all this time and you haven’t figured it out?” Leaders should lean in and make every effort to prevent this potential from becoming a reality. Make sure your planning for the reopening is not only thorough, but also responsive. Being nimble will allow for campus leadership to take action and address where the impact of staffing patterns, incorporation of new technologies, and even untested improvements need tweaking. Departmental leaders should be using this time to identify where their team can live the motto ‘work smarter not harder’, but it will only work in practice if it is intuitive from the user perspective. Use stakeholder outreach to test the processes prior to the opening of the academic year, and be sure to consider scale. Campuses don’t gradually increase in traffic, they go from 0 to 70 MPH in the snap of a finger, and processes must be responsive to the change in traffic, speed and road hazards. As such, this is the time to make a plan for effective response to systemic challenges and hiccups - and the plan must include communication. 

Consistently Conducted Communication.  During the pandemic we have all experienced examples of where communication has hampered or heightened organizational and leadership effectiveness. We have tried everything from standard emails, to portals, to TikTok videos. Take time to consider where communication has worked, and where it hasn’t. Get beyond the method, but evaluate the consistency of communication in timeliness, word choice and messenger(s). Who got the best ‘open rates’ when sending emails? What terms and information got engagement? Was there a day of the week or time of the day that got the most response when you sent a call to action? If you don’t have the answers, it’s not too late, work with your communications team, or self-appointed experts, and do some research into the data. If the data doesn’t exist, consider your campus climate, who is considered the arbiter of news and information, and what is the ebb and flow of your class schedule?  For example, if your VP for Student Affairs has the most clout with students, while the VP for Administration gets the most clicks with staff and the Provost with the faculty, that’s important to know.  Is there room for a campus news source that is from a general account (campus news, for example) which can provide daily updates using not only text, but also video, links to social media and feature campus personalities who are your ‘influencers’?  Considering when the news hits inboxes, phones and push notifications should be intentionally timed for your campus rhythms - if you are a commuter campus, timing the communication to the arrival of the most students on campus, makes good sense, while residential campuses daily communication and emails that hit at 8am and ready for the rise and shine and workplace arrival or after the lunch ‘break’ may be better suited. And no-one … I mean no-one wants a Friday afternoon news dump, unless you are trying to bury important information, which is not advised. If news is going to be difficult to take, use crisis management informed communication, don’t hide from the news, be respectful of your audience, and be solutions driven in your messaging.

Being prepared is essential in good leadership, but preparedness needs to be informed by reality. ‘Dragging out the dinosaur’ … my term for just doing the same old same old is never enough, but this fall, it is truly not enough. Make real progress toward showing your community that the new academic year can be one that is both informed and improved by the experiences of recent memory in concert with your lifetime of professional insight and growth. Make this the dawn of your own leadership rebrand, there will be no better time for it for your campus and for yourself.

THIS WEEK ON “OFFICE HOURS WITH DR. DE VEAU”:  Vaccination rates have stalled in the US. With 18-29 year olds being the least likely to be fully vaccinated. Can College & University health administrators be a source for boosting this age category’s vaccination rate? This week on "Office Hours with Dr. DeVeau", college health expert, Beth Grampetro returns to share what she has learned from decades of experience in campus public health and risk reduction - related to drugs, alcohol and safer sex practices and provides insight how that can be applied to COVID vaccine messaging. Wednesdays at 12:00noon - exclusively on the Fireside social audio platform.

We travel in three lanes when it comes to summer project planning: transaction, aspiration and exasperation.  And within those three lanes we find ourselves operating at different speeds, traveling to the finish line at different rates - and at times hoping to get there at all.  

To illustrate: transactional projects are those that are non negotiable and must get done by a deadline, but probably don’t provide you with much personal growth and excitement such as compliance to the government and regulators, annual evaluations, external reports, etc. Aspirational projects align with our desire to make things better for our team, our institution or our stakeholders - and often time feed our desire for individual growth. Projects rooted in exasperation are those projects and priorities that have failed to take off in the past, but which hold a great deal of emotional attachment due to a deeply felt sense of necessity and urgency. 

The past 18 months have only heightened our emotions associated with our work, and this is going to have an impact on how efficiently and effectively work gets accomplished before September 1.

What Can/Should You Do?

Based on Your List of Projects and Determine Which Lane You are Traveling in. Take out that list and categorize each project type - either, transaction, aspiration or exasperation. If you are working with a committee or a partner, be sure that you are in agreement with them regarding the project type, its lane, and as such what speed, you are traveling in. By doing such, you may eventually shift the outcomes of the project a bit including its deadline and how the project will incorporate with the year ahead (and beyond). 

Is There Room for Growth? Summer can be a time to stretch you and your team to gain experience and competencies that may not be available during the academic year. Consider if there is an opportunity to realign some of the people power dedicated to the projects. By allowing deserving members of the team with the opportunity to reach higher - whether it is related to the work itself, or supervising it, you will be not only spreading the wealth, but you will be gaining organizational capacity into the future. Remember, if you do move someone to one of  your project lanes, be sure that they know when they are expected to cross the finish line, so that expectations are clear. 

Supplement Transaction with Aspiration … But, Re-evaluate Exasperation.  You’ve taken a look at your projects, their lanes, the speed, the deadlines, but before taking a next step, do some motivational consideration - because this may very well help you in revving up your engine toward getting the project done, and feeling good about it when it ends. First, the transactional projects typically have firm, set deadlines, and with that, some external pressure. Pepper these transactional projects with the aspirational ones, which may require some structure and external motivators. The energy you and your team are getting from the accomplishment of the transactional projects may very well feed your energy and sense of purpose of the aspirational projects.  Next, turn your attention to the projects that are rooted in exasperation. As previously mentioned, these are projects that may have failed to launch in the past, and are long overdue. However, now, summer time, may not be the time to try to cajole these efforts to conclusion - rather, they may require more consensus building in order to be successful. 

As some summer projects have suffered with their implementation because of a lack of community involvement and buy-in. Consider if these exasperation-rooted projects would be better positioned as a fall ‘task force’ or ‘working group’ - especially if any of these projects are potentially politically charged. BUT, use the summer to set up the project timeline, set meeting times, even reserve meeting rooms, etc. This will show your partners that you have put real thought into the project outcomes, participation and timing, and want this project to succeed.

We will share resources from around Higher Education and provide insight into how to make the most of the very short summer season in order to feel like you are ready for the arrival of the 2021-22 academic year.
