This remarkable program makes the skills of a professional preservation specialist available to libraries, archives, and historical organizations across the state, helping them care for and make their collections accessible. Kate also runs <a target="_blank" href="https://www.thephotocurator.com/">The Photo Curator</a>, a business focused on organizing and preserving personal and family photo archives. </p><p>Kate’s practical, real-world approach to caring for photographs, documents, and family “stuff” inspires us to curate our own collections. Kate was generous enough to share her slides for you to use as a reference while watching her presentation. </p><p>In her example, Kate references using a log, spreadsheet, or other database to track physical items. Marshall</a>, Ellen Thompson-Jennings, <a target="_blank" href="http://substack.com/@jayb64">Jayme Blenkarn</a>, and <a target="_blank" href="https://open.substack.com/pub/paulafromky">Paula Collins</a> stepped up to share postcards in their family collections. Looking at these incredible items and the memories they held reminded us of the importance of preserving them properly. Postcards slip into that sometimes uncomfortable space between museum-quality artifact and cheap souvenir. In today’s tactical episode, Kathy takes us through the gritty work of handling those damaged photos and artifacts. </p><p>Safety First! </p><p>Kathy mixes her guidance on handling the photos with tips on personal hazards like</p><p>* Mold (or Mould) </p><p>* Unknown chemicals</p><p>* Fire residue</p><p>You may not know what to expect, but you can be prepared. Not only do we have to keep track of those endless utilitarian photos, we’re also master archivists for our extended family. To sort through all of that, you now have the company of friends (Projectkin)  and the expertise of a pro, <a target="_blank" href="https://substack.com/profile/177868959-kathy-stone">Kathy Stone</a>.</p><p>Today, Kathy walked us through the simple terms you’ll often hear tossed around with an assumption that we all know what we’re talking about. Well… that’s not always true — and we often have slightly different meanings for the terms we use. </p><p>The goal here isn’t to agree on the terms, necessarily. Instead, we want to help you understand how the terms are used to ensure that you can plan a workflow for your own materials. At the end of the day, the most important thing is that you never lose these precious archives. Our discussion today built on parts 1 and 2, which she covered in January and February:  </p><p>With the focus of a campaign director, she and her client taped the room with paper organized into a family tree and a collective timeline. The idea was to capture all information they could find to be readily accessible as questions came up in examining, identifying, and curating photos. To get to the creamy tale in the middle, sometimes it’s helpful to start from what you can deduce. </p><p>Here are some of Kathy’s tricks:</p><p>Estimate the Date by Identifying the Type</p><p>“Good enough” estimates of dates can go a long way to getting you started. Identifying your family photographs starts with identifying what type they are. Types are generally defined by the technologies available when the photo was taken, so it can reveal the era in which it was taken. Many of us consider our role as guardians of these materials even as we set about using them to share family stories. </p><p><em>Unfortunately, if we “use” these photos without a system, we risk modifying our originals or creating a printing press of duplicates.</em></p><p>This program is free and scheduled for the 4th Thursday of each month. To see upcoming programs, please visit our Events page:</p><p>Using photos in projects</p><p>In today’s episode, Projectkin’s <a target="_blank" href="https://substack.com/profile/177868959-kathy-stone">Kathy Stone</a> dives into this challenge with a professional's confidence and a neighbor's practicality. Discussion covers topics like: </p><p>* <strong>After you’ve scanned an original print, is it ever okay to modify the original scan you’ve added to an archive?</strong> <em>Well, it depends. A good rule of thumb is that if the change is non-destructive, that’s fine. If it’s destructive, maybe not. Examples include: </em></p><p>* <strong>Rotation:</strong> <em>It’s non-destructive, that’s fine</em></p><p>* <strong>Crop</strong>: <em>Since it is destructive and you can’t go back, it is probably not a good idea. Make a copy of the original and crop away. </em></p><p>* <strong>Colorizing</strong>: <em>It is also destructive in that you can’t go back, probably not a good idea. A better idea is to make a copy, then colorize.</em></p><p>* <strong>Repairs</strong>: It depends. <em>Consider the example of faded image color from the 1970s. You could modify the color today, but it’s destructive. Once you modify the file, you can’t go back to the original. </em></p><p>* <strong>Are catalog-based apps that modify files by mapping to their physical location on a drive a good idea?</strong> <em>Lightroom and ACDSee are examples. They can be useful, but they can also be very confusing if you don’t understand what changes they’re making. </em></p><p>We discussed using the physical location of files at length. Kathy shared a whiteboard illustrating the idea of an archival photo hub, family archive, or “central place” to store photos. Over the twelve months, the series has methodically covered Kathy’s structured approach to digitizing a collection while dishing practical advice and encouragement. You can read more about that in Kathy’s post: </p><p>Today’s session focused on the challenges of curating a collection and letting go of pieces. As Kathy put it, </p><p><p><em>We are the guardians of our family stories. Downsizing your collection is not the same as throwing out old socks. This is a legacy.</em></p></p><p>A few things you won’t want to miss in the video:</p><p>* In the 2010s, photo organizers often shared a phrase that would have you sorting through your photo collection based on the so-called <strong>ABCs</strong>.</p><p>* “<strong>A</strong>” What would you want to put in an <strong>Album</strong> (today that be put on view in some form, analog or digital)?</p><p>* “<strong>B</strong>” What would you put in a <strong>Box</strong> to preserve for the long run?</p><p>* “<strong>C</strong>” What would you just <strong>Can</strong>? (Or, dump into the trash or rubbish can.)</p><p></p><p>As Kathy points out, <strong>too often the “S” is forgotten</strong>:</p><p>* “S” What would you use to share <strong>Stories</strong>? For all the reasons we focus on Stories, this can be the most important reason for keeping photos. </p><p>* Kathy added… </p><p>* When considering what to “Can,” consider other places to rehome images, from local history museums and thrift stores to creative-reuse shops and online sites like <a target="_blank" href="http://deadfred.com">Dead Fred</a>. </p><p>* A later mnemonic came along to focus on three elements that matter: </p><p>* <strong>HAVE</strong>: What are the things you need to have physically (consider items of monetary or sentimental value like jewelry, letters, or daguerrotypes) </p><p>* <strong>SEE:</strong> This is seen but does not have a category that might include school pictures showing all class members.</p><p>* <strong>KNOW</strong>: These stories, narratives, and connections are important to a family history. </p><p>Useful tips shared as links during the conversation: </p><p>* Many photographic materials are not recyclable, so you will have to find ways to repurpose them or throw them in the trash. Consider:</p><p>* Using photos for kids’ crafts that might repurpose them creatively</p><p>* Shredding images and destroying digital materials (like data CDs and DVDs) for privacy reasons first.</p><p>* Things to look for in photo-safe archival storage materials. This important episode steps through this critical step that can save you both time and money later.</p><p>As Kathy points out in the blog,</p><p><em>The key here is to sort what you have into chunks that make sense to you so that you can capture the relevant information as you move them to digital form in the next step. As you bundle photos into folders and envelopes make note of keywords like “Christmas 1960” on index cards to keep with the originals. These can easily be added to file names in the scanning step and be useful notes in your project tracking.</em></p><p>We discussed in the session how this can save you time later in pulling items together — and money in scanning irrelevant photos or duplicates.</p><p>Useful Mnemonic: “Have,” “See” and “Know”</p><p>This tip she mentions in the session and is in the blog is also probably worth calling out here:</p><p>* <strong>Keep in physical form</strong> the things people <strong>need to have</strong><em> (such as jewelry, for example)</em></p><p>* <strong>Keep at least in digital form</strong> the things people <strong>need to see</strong> <em>(such as children's drawings which can become quite fragile and are of little economic value.)</em></p><p>* <strong>Keep in recorded or written form</strong> the things people <strong>need to know</strong> <em>(such as memories, stories, and values.)</em></p><p>Enjoy the program.</p><p><strong>Please note:</strong> This program is intended for the benefit of all Projectkin member subscribers.
